Naturally, managing documentation is a vital component to that process.

LoadingDocs excels by creating permanent links between transaction data and the documents that deliver it, from formal agreements to custom addenda.

Multi-page uploads can be automatically parsed by page for efficient review for approval or correction.

Documents are intuitively connected to their respective tasks and deadlines according to dates entered for a new transaction.

New transaction data is populated automatically via MLS number, eliminating the need for manual re-entry of data — always a risk to the sanctity of vital business data.

Like all good software, LoadingDocs requires little decision-making on the part of the user.

Subsequently with each new transaction, a new task list is created to manage it. LoadingDocs’ user experience ensures that users are walked automatically into each step.

Documents are disseminated to stakeholders for approval and review, and their version history is recorded as it speeds along through each person’s inbox and onward to closing.

Agents will benefit by an email feature that uses a custom address to embed documents into the system.

Attachments can be sent directly or forwarded to LoadingDocs, which will place it into its respective place in the transaction.

This eliminates the need to “store” documents in our inboxes. (Admit it: We all do it. But it’s a terrible business practice for real estate agents.) Outside parties can use the address, too.

Brokers and those with appropriate permissions can view a running list of documents in the system based on status, transaction, due date or assigned agent.

It’s easy to send notes and approve or deny a document package for administrators and brokers. It’s also easy for customers to review the status of their documents via a public-facing portal the company has recently added.

I’m very hesitant to call this a paperless solution, however. It’s document management software, not document automation software. There is a big difference.

Scanning documents for uploading and emailing into the system means that someone, somewhere, is still holding a paper copy. Thus, the risk of perpetuating mistakes and questioning record accuracy remains high.

Having multiple versions of documents in different places runs contrary to sound document management.

Which document is correct, the one in LoadingDocs or the one in the drawer? Is there a precedent?

It’s very important for agents to look beyond ECM (enterprise content management) as merely a productivity enhancer. It’s also a security measure, especially in today’s multiple-device, fast-paced mobile work environments.
